Safeguarding Policy

This Safeguarding Policy ("Policy") sets out the principles, procedures, and responsibilities adopted by TechnoDucks Inc., doing business as Kidgency ("Company," "we," "us," or "our"), to protect the welfare and safety of children who participate in our live educational sessions ("Services").
It should be read alongside our Privacy Notice, Terms of Service, and Cookie Notice. Where a specific safeguarding matter is addressed in this Policy, this Policy shall prevail.
1. Scope and commitment
In Short: We are committed to providing a safe, respectful environment for every child who joins a Kidgency session.
This Policy applies to:
- all children who participate in Kidgency trial sessions or programmes;
- all educators, staff, contractors, and other individuals acting on behalf of Kidgency in the delivery of Services; and
- parents, legal guardians, and other adults interacting with Kidgency in connection with a child.
Every child who attends Kidgency has the right to feel safe, respected, and heard. Kidgency is committed to providing a calm, structured environment where children can practise social and emotional skills without pressure, ridicule, or inappropriate contact.
2. Core safeguarding principles
In Short: Parent-led access, small groups, live sessions, no recording without consent, trained educators, clear reporting channel.
Kidgency operates under the following core principles:
- Parent-led access. Only parents or legal guardians book sessions, receive joining links, and manage communication. Children do not contact educators directly through any channel.
- Small, age-grouped cohorts. Live sessions are delivered to small groups (up to six children) of similar age, so that every child is visible to the educator throughout the session.
- Live, visible sessions. Sessions are delivered live in a shared video environment. One-to-one private rooms are not used for trial sessions. Parents are welcome to remain in the same physical room as the child during trial sessions.
- No unauthorised recording. Trial sessions are not recorded by Kidgency. Any future recording for any purpose requires express prior written consent from the parent or legal guardian of every participating child.
- Qualified educators. Educators have relevant qualifications and experience working with children. Their background is verified before they lead any Kidgency session.
- Clear reporting channel. Any safeguarding concern, whether from a parent, child, educator, or third party, can be raised directly at info@kidgency.com and will be handled in accordance with Section 7 of this Policy.
3. Selection and management of educators
In Short: We verify every educator before they start and review their work on an ongoing basis.
3.1 Before an educator delivers any session
Before any individual delivers a session for Kidgency, we:
- verify their identity and relevant professional qualifications (typically in education, psychology, or a related field);
- verify their professional history, with particular attention to prior experience working with children or young people;
- seek references from previous employers or institutions;
- conduct background checks appropriate to their country of residence and the applicable local standards;
- require written agreement to this Policy and to the Kidgency code of conduct.
3.2 Ongoing support and oversight
- Educators have a named point of contact at Kidgency for any welfare or safeguarding matter.
- Session feedback from parents is reviewed regularly and patterns are investigated.
- Educators participate in continuing professional development, including refresher training on child protection.
4. Conduct during sessions
In Short: Educators greet each child, protect quieter children, respond sensitively, and never ask for private information.
Educators are expected to:
- greet each child by name at the start of the session and maintain a supportive, inclusive tone throughout;
- ensure every child has space to participate, and actively protect quieter children from being spoken over;
- respond calmly and sensitively if a child becomes distressed, and pause or end the session where that is in the child's best interest;
- never ask a child to disclose private information, including home address, school name, family circumstances, medical information, or passwords;
- end each session on a constructive note and, where appropriate, summarise what the group worked on.
5. Prohibited conduct by educators
In Short: Educators must never contact children outside sessions, collect personal contact details, or meet a child in person without Kidgency's approval.
Educators shall not, under any circumstances:
- contact a child directly outside a Kidgency session, by email, telephone, text message, social media, or any other channel;
- request or accept personal contact details from a child;
- exchange photographs, videos, or personal messages with a child outside the structured session environment;
- meet a child in person without explicit parental involvement and prior written Kidgency approval;
- discuss a child's participation with any person other than the parent, the authorised Kidgency team, or competent authorities where legally required;
- record sessions on personal devices or share session content with any third party.
Any breach of this Section 5 will result in the immediate suspension of the educator pending investigation and, where the finding so requires, termination of engagement and referral to relevant authorities.
6. Role and responsibilities of parents
In Short: Provide a private space for the session, be nearby for younger children, talk to your child afterwards, and raise any concern with us.
Parents and legal guardians play an essential role in the safety of their child. In particular, the parent shall:
- ensure the child attends the session from a private, quiet, and appropriate space (typically a family room, not a closed bedroom);
- remain nearby and available, particularly for younger children, in case of technical or emotional issues;
- engage with the child after the session and listen for any concerns the child may raise;
- report promptly to Kidgency any concern, however minor it may seem, at info@kidgency.com.
7. Reporting a concern
In Short: Email info@kidgency.com with "Safeguarding concern" in the subject line. We acknowledge within 24 hours.
To raise a safeguarding concern, please email info@kidgency.com with the subject line "Safeguarding concern."
We will acknowledge receipt within twenty-four (24) hours and identify a named individual responsible for handling the concern.
Matters that should be reported include, without limitation:
- any comment made by a child that caused concern;
- behaviour observed during a session (from any participant or educator) that appeared inappropriate;
- content that felt inappropriate for the child's age; or
- any feature of the session environment that felt unsafe.
On receipt of a concern, Kidgency will:
- Listen. The parent (and, where appropriate and safe, the child) will be heard carefully and without judgement.
- Record. The concern will be documented in a secure, access-controlled log.
- Investigate. Relevant session records, educator statements, and any other necessary information will be reviewed.
- Act. Actions may range from additional educator training to suspension of the educator, termination of the engagement, and referral to external authorities.
- Report back. The parent will be updated on the status and outcome of the investigation, to the extent permitted by privacy obligations and any applicable legal constraints.
8. Escalation to external authorities
In Short: If we believe a child is at risk of serious harm, we will refer the matter to law enforcement or child protection authorities.
Kidgency will escalate a safeguarding matter to competent external authorities where we reasonably believe that a child is at risk of serious harm, whether the source of harm is within Kidgency or external to it. In such cases:
- the immediate safety of the child takes priority;
- Kidgency will cooperate fully with the investigating authority;
- Kidgency will inform the parent as soon as doing so is safe and appropriate and does not compromise the investigation.
Relevant external authorities and helplines include, without limitation:
- United Kingdom: Local authority Children's Services; the police (999 for emergencies, 101 for non-emergencies); NSPCC helpline (0808 800 5000); CEOP for online safety concerns.
- European Union: National child protection services; the pan-European 116 000 hotline.
- United States: Local law enforcement; Childhelp National Child Abuse Hotline (1-800-422-4453).
9. Record-keeping and review
- Safeguarding concerns and the actions taken in response are recorded in a secure, access-controlled log, retained for the period required by applicable law.
- This Policy is reviewed at least once every twelve (12) months and following any material safeguarding incident.
- Material updates to this Policy are communicated to active families by email.
